What document digitization solves
In many organizations, key information still sits in folders, cabinets and on employees' laptops. Finding one contract or old report can take hours.
Document digitization turns paper archives, scans and scattered files into structured, searchable data. You end up with more than a folder of PDFs: a digital archive where any document can be found in seconds by date, number, counterparty or the text inside it.
It matters most for teams that handle a lot of paper: schools and universities, manufacturers, service centers, accounting and HR departments.
Archive digitization services we provide
Scanning and OCR
We scan paper records and run text recognition, so every word on every page becomes searchable.
Data structuring
We pull the fields that matter from each document type – date, number, amount, full name, organization – into a table or database.
Templates and workflows
We set up digital templates, review and approval steps, so new documents stop piling up on paper.
Archive migration
We move data from legacy systems, shared drives or spreadsheets into a new system and check records against the source.
Search and access rights
We define who can see which documents and build a clear search interface for your staff.
AI-ready data
We organize the data so it can later be connected to AI search and assistants without reprocessing everything.
OCR for Uzbek (Latin and Cyrillic) and Russian documents
Archives in Uzbekistan have a specific challenge: one folder can hold a recent order in Uzbek Latin script, an older document in Uzbek Cyrillic and a contract in Russian. Tools tuned for one language often fail on mixed material like this.
That is why we configure OCR around your actual documents. We handle Uzbek Latin, Uzbek Cyrillic and Russian separately and check that letters such as o' and g', tables, and pages with stamps and signatures are read correctly.
Faded, damaged and handwritten pages are flagged for human review. Needs like one search across Latin and Cyrillic spellings are agreed at the start.
How we build an electronic archive
- Discovery (1-2 weeks). We review your documents, talk to the people responsible and write a brief everyone signs off.
- Structure and pilot. We decide which fields to extract and how folders and files are named, then test the approach on a small sample batch.
- Digitization. Scanning, OCR and structuring run in two-week cycles, and each cycle ends with a live demo of the results.
- Checks and migration. We spot-check the data and load it into your existing system or a new digital archive.
- Hand-over. Documentation, a hand-over session with your team and optional ongoing support.
This is our standard delivery process, adapted for document work.
From a digital archive to AI search
Digitization is often just the first step. Once the data is in order, it can sort incoming requests, compile reports and draft customer replies. Read more on our AI business process automation page.
Another direction is a company "second brain": an internal knowledge base where an employee asks a question in plain words and AI finds the answer in your own documents, with the option to show the source. That only works when documents are clean and structured first – which is what we prepare the archive for.
If your archive needs its own web interface or mobile app, our web and mobile app development team can build it.
